Attendance, Voting, and Proxies

What happens when I arrive?

Follow the meeting's check-in instructions. The organizers may confirm your property information, collect proxy forms, and provide an agenda, reports, or voting materials. Arriving a little early leaves time for these steps.

What if I cannot attend?

The Association Bylaws provide for voting in person or by proxy. A proxy authorizes another person to act on your behalf within the terms of the form.

Ask the Association for its current form and instructions. Read the form carefully, identify the person you are authorizing, and confirm where and when it should be submitted.

What does “quorum” mean?

Quorum is the minimum voting participation needed to conduct particular meeting business. Participation may include owners present and those represented by valid proxies.

The applicable threshold comes from the governing documents and the type of action being considered. The meeting organizers can explain the count and whether the meeting is ready to proceed.

Where can I confirm my voting information?

Contact the Association before the meeting to confirm the ownership information and voting allocation associated with your property. If a property has multiple owners, ask how its vote should be represented.

How can I ask a question or raise a topic?

Follow the chair's instructions for discussion and homeowner questions. Keep comments clear, respectful, and focused on the topic. For a matter requiring advance review, contact the Association before the meeting so it can explain the next steps.

Director Elections

Director elections are an opportunity for homeowners to participate in the Association's work.

What do the Bylaws say about the Board?

The Bylaws describe a three-member Board and one-year director terms, with directors continuing until successors are elected and qualified. Refer to the complete Bylaws and any applicable updates for the full provisions.

Contact the Association for the current director roster and information about the positions being presented for election.

How can someone become a candidate?

The Bylaws describe a Nominating Committee and nominations from the floor. If you are interested in serving, contact the Association to learn about candidate qualifications, nomination arrangements, and the responsibilities involved.

A brief introduction explaining your interest and relevant experience can help neighbors get to know you.

How are director elections conducted?

The Bylaws provide for secret written ballots in director elections. Before voting, review the candidate information and listen to the instructions about completing and returning your ballot.

Ask the meeting organizers if you need clarification about the number of selections, proxy voting, or how results will be announced.

What should I consider before volunteering?

Ask about the expected time commitment, meeting schedule, current projects, and duties. Serving can involve reviewing community matters, helping with planning and finances, and communicating with homeowners.

You can also ask whether there are committee or project opportunities that fit your interests and availability.

Understanding Community Roles

What is the difference between a director and an officer?

Directors serve on the Board, which handles the Association's business. Officers carry out assigned roles such as president, secretary, or treasurer, following the Bylaws.

A person may serve in more than one capacity where the governing documents allow. Contact the Association for its current roster and the best person to handle your question.

What does the Architectural Control Committee do?

The Architectural Control Committee, or ACC, reviews property improvement submissions under the community documents. If you are planning an exterior project, confirm the submission process and any approval needed before beginning work.

A description, proposed location, dimensions, materials, and drawings or photos can help explain your plans.

How can I help without serving on the Board?

Ask the Association about current committee, project, or volunteer opportunities. Sharing your interests and availability can help identify a useful way to contribute.

Financial Information

The annual meeting is a useful time to learn about community income, expenses, and upcoming plans.

  • Budget: The plan for expected income and spending.
  • Income and expenditures: A report showing money received and expenses paid during the reporting period.
  • Assessments: Charges to homeowners that support Association expenses under the community documents.
  • Future projects: Planned maintenance or improvements that may affect upcoming spending.
What information can I review before the meeting?

Review any budget, income and expenditure statement, financial review or audit, and project information provided by the Association. Note the reporting period and write down questions about items you would like explained.

What are some useful financial questions?

You might ask which projects are planned, how actual spending compared with the budget, whether major maintenance is anticipated, and where copies of financial reports are available.

Keep questions about your personal account separate from the general discussion so the Association can respond privately.

Where do I confirm assessment amounts or payment instructions?

Refer to the Association's latest assessment notice or contact it directly. Confirm the amount, due date, payment method, and contact person for account questions.

This website does not collect Association assessments or maintain homeowner account balances.

After the Meeting

  • Review follow-up information. Look for meeting summaries, election results, or other notices shared by the Association.
  • Keep useful materials. Save reports, contact information, and any forms you may need later.
  • Follow up on your questions. Contact the appropriate Association representative if a topic needs further discussion.
  • Stay involved. Consider volunteering or attending future meetings when your schedule allows.
